The Capability That Changed How Work Works

Remote access to computers — the ability to view and control a computer from a different device in a different location — has evolved from an enterprise IT capability to a daily tool for remote workers, IT support providers, and anyone who needs to access a specific computer from another location. The ecosystem of tools for this has expanded significantly: there are free, consumer-friendly remote access tools that require minimal technical setup alongside professional products that integrate with enterprise IT management.

Understanding the different use cases for remote access (support others, access your own machine, collaborate with colleagues on a shared screen) and the tools that serve each well reduces the trial-and-error of finding the right tool for a specific situation.

Accessing Your Own Computer Remotely

The most common remote access use case for non-IT professionals is accessing their own computer — working from a laptop while their files and applications remain on a desktop at home or at the office, or accessing a work computer from personal devices. Microsoft Remote Desktop (built into Windows and available as a free app for iOS, Android, and Mac) provides higher performance for Windows-to-Windows access when the Windows Pro or Enterprise edition with Remote Desktop enabled is the target machine. The performance advantage over Chrome Remote Desktop is noticeable for bandwidth-intensive tasks; the setup requires enabling Remote Desktop in Windows settings and potentially configuring router port forwarding for access outside the home network — more technical but more capable.

TeamViewer and AnyDesk: For Supporting Others

TeamViewer (free for personal non-commercial use, paid for business use) and AnyDesk (free for personal use) are the most widely used remote support tools for the use case of helping someone else with their computer problems. Share a connection ID and password with the person you’re helping, and you can view and control their screen while they watch. No account creation required for the person being helped; the helper needs the software installed.

TeamViewer’s longevity and the breadth of its platform support (Windows, Mac, Linux, iOS, Android, Chromebook) make it the most universally useful tool for ad hoc support situations. AnyDesk has grown significantly as an alternative with better performance on slower connections and a more favorable pricing structure for light commercial use. Both tools’ free versions require no technical setup — download, install, and the ID is generated automatically.

Screen Sharing for Collaboration

Screen sharing for collaboration — showing your screen to another person during a meeting or working session — is handled by most video conferencing tools without any additional software: Zoom, Google Meet, Microsoft Teams, and equivalent tools all provide screen sharing in the meeting interface. For sharing a screen without the video call context, alternatives are useful: Tuple (Mac, paid) is specifically designed for developer pair programming with low latency and high-quality video; Pop (free, Mac and Windows) provides similar low-latency screen sharing for collaboration.

For asynchronous screen sharing — recording your screen with narration to share a walkthrough, a tutorial, or a bug report without requiring a synchronous meeting — Loom (free for limited storage, paid for more) provides recording and instant sharing with viewer analytics. Screen recordings that replace meetings have become a significant time-saving practice in distributed teams, and Loom’s simple record-and-share workflow reduces the friction that makes screen recording feel like more effort than it’s worth.

Security Considerations for Remote Access

Remote access tools create network connections that need security attention. The primary concerns: ensure any remote access software is from a legitimate provider (fraudulent ‘IT support’ scams often ask victims to install remote access tools that give scammers control of their computers — any unsolicited request to install remote access software should be treated as a social engineering attack), use strong PINs and passwords for any persistent remote access setup, and disable remote access software when it’s not actively needed rather than leaving it running continuously.

For business use, the IT infrastructure surrounding remote access matters more than the tool choice: VPN connectivity before remote desktop access, multi-factor authentication for remote access authentication, session logging for compliance and audit purposes, and endpoint security on devices accessing corporate systems remotely. Consumer-grade remote access tools aren’t appropriate for business environments with data security or compliance requirements — enterprise products (Splashtop Enterprise, LogMeIn, Citrix) provide the management and security features that business use requires.
